Terms & Conditions

These Terms & Conditions apply to all bookings, quotations and agreements with Buro de Pijp.

By confirming a booking or accepting a quotation, the Client agrees to these Terms & Conditions.

1. Bookings

Cowork spaces can be booked directly through our website. A booking is confirmed once payment has been successfully completed.

Meetings and events are confirmed once the Client has accepted the quotation or booking confirmation in writing.

Any quotation is subject to availability until the booking has been confirmed.

2. Payment

Invoices must be paid within the payment term stated on the invoice.

Buro de Pijp may request full or partial payment in advance in order to confirm a booking.

If payment is not received on time, Buro de Pijp reserves the right to cancel the booking and/or charge statutory interest and reasonable collection costs.

3. Cancellations & Changes

For cowork bookings, meetings and events, our Cancellation & Refund Policy applies.

For meetings and events:

• More than 30 days before the event: free cancellation
• 14–30 days before the event: 50% of the total quoted amount
• Less than 14 days before the event: 100% of the total quoted amount
• No-show: 100% of the total quoted amount

Costs already incurred for catering, staffing, equipment or external suppliers remain payable if these costs cannot be cancelled or recovered.

Changes or rescheduling are subject to availability and written approval by Buro de Pijp.

4. Use of the Venue

The venue may only be used for the purpose agreed with Buro de Pijp.

The Client is responsible for the behaviour of its guests, employees, suppliers and other persons attending the booking.

The Client must follow reasonable instructions from Buro de Pijp staff and may not cause nuisance, damage or unsafe situations.

No permanent alterations, installations or attachments may be made to the venue without prior written approval from Buro de Pijp.

Smoking is not permitted inside the venue.

5. Catering & External Suppliers

Food, drinks, equipment and other services arranged through Buro de Pijp may be supplied by external partners.

The use of external caterers, suppliers or equipment brought in by the Client must be agreed with Buro de Pijp in advance.

Final guest numbers and dietary requirements must be provided within the timeframe agreed for the booking.

6. Damage

The Client is responsible for any damage to the venue, furniture, equipment or other property caused by the Client or its guests, employees or suppliers.

Any damage must be reported to Buro de Pijp immediately.

Buro de Pijp reserves the right to charge the Client for reasonable repair or replacement costs.

7. Liability

Buro de Pijp is not liable for loss, theft or damage to personal belongings brought onto the premises, except where liability cannot legally be excluded.

The Client is responsible for obtaining appropriate insurance where necessary.

Buro de Pijp is not responsible for indirect or consequential losses resulting from a booking, except where required by applicable law.

8. Permits & Regulations

The Client is responsible for obtaining any permits, licences or permissions required specifically for its event or activities.

All activities must comply with applicable laws, regulations and safety requirements.

9. Force Majeure

Buro de Pijp is not liable for failure to perform its obligations due to circumstances beyond its reasonable control, including government restrictions, serious technical failures, utility outages, extreme weather or other force majeure events.

Where possible, Buro de Pijp will work with the Client to find a reasonable alternative.

10. Cancellation by Buro de Pijp

Buro de Pijp may cancel or terminate a booking if the Client does not comply with these Terms & Conditions, fails to make required payments or uses the venue in an unsafe or unlawful manner.

If Buro de Pijp has to cancel a confirmed booking for reasons attributable to Buro de Pijp and cannot offer a suitable alternative, payments made directly to Buro de Pijp for that booking will be refunded.

11. Applicable Law

These Terms & Conditions and all agreements with Buro de Pijp are governed by Dutch law.

Any disputes will be submitted to the competent court in the Netherlands, unless mandatory law provides otherwise.
